🌐Overview 📖 Building Your Index ⚠️ If Your Index Needs More Pages ℹ️Helpful Tip: ⚙️ Index Settings 🔄 Rebuilding the Index 🏷️ Tagging People in Photos 👥 Managing People in the Index

📕BOOK COMPATABILITY WARNING

This article applies to books created in Page Ladder format. If your book utilizes sections please see: Building and Managing Your Yearbook Index - Section Books

🌐Overview

Your yearbook index provides a quick reference showing who appears in the book and which pages they appear on. Because the index is generated from your project's People information, portrait placements, and photo tags, it must be rebuilt whenever that information changes.

This article covers:

  • Building your index
  • Index Settings
  • Rebuilding the index after project changes
  • Tagging people in photos
  • Managing people included in the index

📖 Building Your Index

Before you can build an index, you must first assign pages in your yearbook for the index to use. Index pages take up page space in your book, so plan for the number of pages you want to dedicate to the index before enabling it.

  • From the project dashboard, click Manage in the upper-right corner.
  • Select Manage Index Pages.

  • Select the pages you want to assign to the index.

  • Click Finish to save your selections.

Once the pages have been assigned, the Index section will be enabled in your project and you can continue with the steps below to build and manage the index.

Once the index pages have been assigned, click Rebuild Index to generate the index for the first time.

⚠️ If Your Index Needs More Pages

If the pages you assigned are not enough to contain everyone included in the index, a message will appear stating that not all students will fit in the index.

  • The message will provide recommendations based on the available column count and the number of pages required.
  • From this message, you can click Open Index Settings to adjust settings such as the column count.

If additional pages are still required:

  • Return to Manage.
  • Select Manage Index Pages.
  • Add the additional page or pages needed for the index.
  • Click Finish.
  • Click Rebuild Index again.

Continue adjusting the assigned pages or Index Settings until the index can be successfully rebuilt with all required entries.

ℹ️Helpful Tip:

Index pages cannot be fully designed with elements such as photos, shapes, or clip art until the other sections of the book are locked. For this reason, final index formatting should generally be completed near the end of the yearbook process.

Once built, the index displays each person's name along with the page or pages where that person appears.

A person may appear in the index when they are:

  • Included in a portrait section
  • Tagged in a photo

⚙️ Index Settings

You can update your index settings at any time from the project ladder.

Click the settings icon next to the Index spread.

Select Index Settings.

Adjust the available settings as needed, including:

  • Column Count
  • Column Height
  • Heading Letter Alignment
  • Line Spacing
  • Font Style
  • Font Size
  • Font Color

When you are finished making adjustments, click Save and Rebuild to apply the changes to the index.

🔄 Rebuilding the Index

The index does not automatically represent changes made after the most recent build.

Any time information changes that affects who appears in the book or where they appear, click Rebuild Index.

Examples include:

  • Adding a person
  • Adding someone to a portrait section
  • Removing someone from a portrait section
  • Tagging someone in a photo
  • Removing a photo tag
  • Moving content that changes the page where a person appears

After rebuilding, review the Index section to confirm the updated information appears correctly.

🏷️ Tagging People in Photos

Tagging identifies the people shown in a photo and allows those appearances to be included in the yearbook index.

  • Import your portraits if you have not already done so.
  • Open the section containing the photo you want to tag.
  • Select the photo.
  • In the left-side panel, open Photo Info.
  • Locate Who's in this photo.

  • Begin typing the person's name.
  • If a matching person already exists in the project, select their name from the results.

  • The person's name will be added to the photo.

  • To remove a tag, click the X next to the person's name.

Repeat the process to tag additional people if the photo contains more than one person.

👥 Managing People in the Index

The information shown in the index is based on the People records associated with your project.

If you need to add, edit, remove, or review people or portrait information, see Managing Portraits and People.
