The Photos workspace allows users to organize, sort, move, and manage images within their project. This article explains the available tools and how to use them effectively.


πŸ“‚ Accessing the Photos Workspace

To begin managing images:

  • Navigate to the Photos workspace.
  • Click on the desired folder to open it.

For example, select a section such as β€œStudent Life” to view and manage the images stored within that folder.


πŸ–₯️ Workspace Controls Overview

The Photos workspace includes several tools that help manage and organize images.

πŸ”„ View Options

Users may toggle between Grid View and List View depending on preference.

πŸ”Ž Filter Menu

The filter dropdown allows users to:

  • Display all photos
  • Hide photos currently in use
  • Show only photos currently in use


↕️ Sort Menu

The sort dropdown allows users to change the order in which images are displayed.


πŸ–±οΈ Selecting and Managing Images

Clicking on an image highlights it in blue and activates additional management options:

➑️ Move To – Moves the selected image to another section

©️ Copy To – Creates a duplicate of the image in another section

❌ Delete – Permanently removes the image from the project


βœ… Identifying Images in Use

Images that have already been placed on a page include usage indicators:

A checkmark icon in the corner of the image indicates it is currently in use.

The number(s) displayed beneath the image indicate the page number(s) where the image appears.

Clicking the page number will navigate directly to that page.


πŸ› οΈ Additional Image Tools

When hovering over an image, additional tools become available:

πŸ” Magnify – Enlarges the image for closer viewing

✏️ Edit (Pencil Icon) – Rename the image, add notes, or convert the image to a portrait

πŸ—‘οΈ Delete (Trash Icon) – Permanently removes the image from the project

ℹ️ Information (i Icon) – Displays metadata and image details

The image filename is also visible when hovering over the image.


🏷️ Using Keywords

Keywords allow users to group images by theme for easier organization and retrieval.

Examples of keyword categories include:

Events (Halloween, Dance, Graduation)

Sports (Football, Soccer, Basketball)

Clubs or Activities


πŸ“ Assigning Keywords to Images

To assign keywords:

  • Navigate to Manage Photos from the project dashboard.
  • Open the desired section folder.
  • Select one or multiple images (they will highlight in blue).
  • Click Assign Keywords.

In the pop-up window:

  • Enter a keyword (short, single-word keywords are recommended).
  • Press the Enter key after typing each keyword.
  • Click Done to save.


πŸ”Ž Viewing Images by Keyword

Assigned keywords will appear in the Keywords section within the Photos workspace.

Selecting a keyword will display all images associated with that tag.
